Hapi Cloud is a Salesforce implementation partner specializing in backend integration for hospitality industry partners. Led by Jenn Brantmier, the SVP of Client Operations and Delivery, HAPI operates across eight countries with a fully distributed team.

Previously, HAPI used a mix of Jira and Smartsheet to manage their complex projects, but this combination wasn’t cutting it. Fragmentation and tool limitations created roadblocks, and it became clear that they needed a more robust solution—a comprehensive PSA system tailored to the unique demands of the hospitality industry.
While HAPI used Jira to manage tasks, it fell short in resource management. The lack of visibility into which team members were handling specific tasks made it difficult to manage resources efficiently, especially for their hybrid projects combining custom development and CRM implementations.
Smartsheet supported HAPI in calculating project durations, but transferring data between Smartsheet and other systems was cumbersome. This back-and-forth process added unnecessary manual effort and slowed down project workflows.
Managing hybrid projects that involved both custom development and CRM implementations added layers of complexity to their workflows. Tracking development tasks alongside implementation tasks became cumbersome with their existing tools, which were not designed to handle the nuances of hybrid workstreams.
HAPI’s efforts to track time were ineffective, particularly because all their work is billable. Their existing tools couldn’t track time accurately, forcing them to manually match data from one system to another.
HAPI found that the bigger, well-known tools like Clarizen, Saviom, and others had large administrative startup and implementation costs, which weren’t justified by the value they provided. This was an issue, particularly as HAPI wanted to minimize administrative overhead and maximize value with minimal effort.

One of the biggest wins for HAPI Cloud has been the ability to consolidate all project communication and documentation within Rocketlane. Instead of juggling emails and multiple tools, the team now communicates exclusively within Rocketlane—even with customers.
By integrating time tracking between Jira and Rocketlane, they now have a clear and accurate view of where time is being spent. This has eliminated the need for external tools like Everhour. This has streamlined billing, made project cost tracking more precise, and even allowed the team to filter and track billable utilization more effectively.
While increasing billable utilization is important, HAPI Cloud’s top priority is ensuring it doesn’t come at the expense of their team’s well-being. With Rocketlane, they’ve been able to reduce administrative burdens, freeing up their team to focus on high-value tasks. As a result, some team members have even exceeded their utilization targets—not by working longer hours, but by working smarter.
Rocketlane has given HAPI Cloud the ability to confidently deliver projects on time and within budget—something they couldn’t do before. This has become a key selling point for their sales team, as they can now promise clients that projects will stay on track without the need for unexpected budget increases.
For customers, Rocketlane’s client portal has provided much-needed visibility into project statuses. HAPI’s clients now enjoy easy access to project updates without feeling overwhelmed by too much information. The use of private phases helps keep the focus on the most relevant details, allowing customers to stay informed without diving into every task.

Since adopting Rocketlane, HAPI has seen a significant improvement in project timelines. Projects that used to drag on now start and finish within shorter windows, and the team has been able to achieve on-time, under-budget results.

With Rocketlane’s SmartFill feature, pre-project documentation that once took hours to customize for each client is now automated and templated, saving the team a huge amount of time. On top of that, automation tools, like automatic project status updates and task workflows, have cut down on manual tasks, letting the team focus on the work that really matters.
